Guest registration in Portugal, done for you

Guests check in on their phone before they arrive. We send every foreign guest's registration to SIBA automatically, so you never type a bulletin again.

30 days free · No card · We'll set it up with you

Why this matters

Reporting your guests to the authorities isn't optional: it's a legal obligation for every accommodation, from hotels to holiday rentals. Missing or late reports can lead to inspections and fines, and entering them by hand is where most mistakes happen.

In Portugal every foreign guest has to be reported to SIBA within 3 working days. Portuguese citizens are exempt, and we skip them automatically.

How it works

  1. 1

    A booking comes in

From your booking system (Cloudbeds, Beds24 or Smoobu) automatically, or from guests who open your check-in link or scan its QR code at reception.

  2. 2

The guest gets their check-in link

We email it in the guest's language, from your property, with reminders before arrival if you switch them on. You can also send it yourself.

  3. 3

    They register on their phone

Each guest scans their ID or passport, checks the details and signs. It takes about two minutes, and nobody needs an app.

  4. 4

We report it, you see it

We send every registration to SIBA within the legal deadline. Your dashboard and a daily email show who's registered, who's missing and what was reported.

What you need

  • Your property registered on SIBA, with “Web Service” as the sending method (step 4 explains how)
  • Your accommodation's NIF, establishment number and SIBA activation key
  • Optional: admin access to your booking system (Cloudbeds, Beds24 or Smoobu)

Set it up in 5 steps

About 15 minutes. Prefer to do it together? Book a free call and we'll do it with you.

  1. 1

    Create your account

Go to simpleguests.com/signup, enter your email and name, and click the link we email you. Your property is created with your account. The first 30 days are free, with no card.

  2. 2

    Get your check-in link

In Properties you'll find your property's check-in link. It's what guests use to register before they arrive. Share it:

    • in your booking confirmation or welcome message
    • by WhatsApp or email before arrival
    • printed as a QR code at reception, for anyone who arrives without registering
  3. 3

    Connect your booking systemOptional

Under Integrations, connect your PMS so bookings and guest names appear by themselves, and every booking gets its own check-in link.

    • Cloudbeds: with your own API key (Account → Apps & Marketplace → API Credentials).
    • Beds24: with an invite code (Settings → Apps & Integrations → API).
    • Smoobu: with your API key.
    • No booking system? Use your check-in link from step 2.
  4. 4

    Add your SIBA details

On SIBA (siba.ssi.gov.pt), register your accommodation and choose “Web Service” as the way you send bulletins. SIBA emails you an activation key (Chave de Ativação). Then, in Simple Guests → Compliance, enter:

    • NIF of the accommodation
    • Establishment number
    • Activation key (Chave de Ativação)

No certificate or extra password is needed.

Then press Test connection. When it's green, you're ready.

  5. 5

    Switch it on

In Compliance, activate sending. From then on every registration is reported automatically. Optionally:

    • turn on automatic check-in emails to guests, with reminders 72 and 24 hours before arrival
    • choose who gets the daily report of arrivals and registrations

Why owners use it

No more manual reports

Every registration goes to SIBA automatically, and you can see what was sent and when.

In your guests' language

Check-in and emails in English, Spanish, Catalan, French, German and Portuguese.

Nothing slips through

Failed reports are retried and you're alerted. The daily report shows who still has to register.

Privacy built in

Data is stored in the EU and deleted automatically when the legal retention period ends.

Questions

Do I report Portuguese guests?

No. Only foreign guests are reported to SIBA. Portuguese guests still check in, but we don't send them.

I already send bulletins to SIBA. Is that a problem?

No. Once you switch Simple Guests on, stop sending them yourself so nobody is reported twice.

What if I don't use a booking system?

That's fine. Share your check-in link or print its QR code; every registration is reported the same way.

What if a guest doesn't register before arriving?

They scan the QR code at reception and register in two minutes. If automatic emails are on, they also get reminders, and the daily report lists anyone still missing.

What happens if a report is rejected?

We retry it automatically and alert you (and our team). If the problem is your login details, we tell you exactly which ones to update.
